To utilize the CJSM service for managing and monitoring prisoner communications, users need a few essential items:

  • A CJSM email address, which can be obtained by joining the CJSM service and going through the necessary verification and security checks. This email address should end with 'cjsm.net'.
  • A printer, as the service requires A4 paper for printing out the generated barcodes and addresses for legal correspondence (Rule 39 mail) and confidential access mail.
  • Envelopes with windows, which are necessary for the service.
  • Prison numbers or date of births of the recipients, as well as their names.

It's important to note that the service does not provide the necessary printing materials or the names, prison numbers, or date of births of recipients. Users must also have the service applicable to them, which is outlined in the guidance on monitoring and managing prisoner communications (PSI 04/2016). This includes being a legal adviser of the recipient or if their organization or role is listed in the guidance.

The barcodes generated by the service are unique and serve an important purpose. They are used to confirm the sender's approval status in prison mailrooms, ensuring that only approved correspondences are delivered to prisoners. Each barcode also confirms to prison mailroom staff that the user is an approved sender.

In case you're unsure whether your organization is already part of CJSM, you can contact your IT or security department to inquire if CJSM accounts have been provisioned or if the organization is registered with CJSM. You can also reach out to the CJSM Helpline or relevant criminal justice secure mail support services, which can confirm organizational membership or existing CJSM addresses. Additionally, reviewing internal documentation or communications from criminal justice sector partners who commonly use CJSM for secure correspondence may also help you determine your organization's CJSM status.

CJSM is widely used within UK criminal justice sectors, including police, CPS, courts, and related agencies, ensuring secure transmission of sensitive case information.

  1. To fully utilize the CJSM service in the banking-and-insurance industry for secure, confidential communication with prisoners, financial institutions must ensure their organization is part of CJSM, either through existing CJSM accounts provisioned by the IT department or by registering with CJSM.
  2. Fintech companies, like those in the finance sector, may find the CJSM service beneficial for secure transmission of sensitive financial data related to prisoners, as it is widely used within UK criminal justice sectors, including police, CPS, courts, and related agencies.
